How do I publish an Outlook Calendar?

You may publish a calendar from the Settings menu of an Outlook for Web browser window. 

  1. First logon to https://cowboymail.okstate.edu
  2. Then click the Settings icon, then select “View all outlook settings” from the bottom of the menu as shown below.Uploaded Image (Thumbnail)

  4. Select a calendar to publish from the drop down menu and select any desired permissions.

  6. NOTE: Anyone with the link can view the published calendar without authentication.

 


 

 

How do I confirm Calendar Permissions in Microsoft Outlook?

Step 1: Verifying Delegate or Owner Permissions

  1. Open Calendar Using Add Calendar:

  3. Select Account Settings, then click on Delegate Access.

  4. Ensure users with delegate or owner permissions open the calendar using the Add Calendar option in Outlook.

Step 2: Enabling Shared Calendar Improvements

  1. Enable Shared Calendar Improvements:

  2. In Outlook, click on File and go to Options.

  3. In the Outlook Options dialog box, select Calendar from the left sidebar.

  4. Scroll down to the Shared Calendars section.

  5. Check the box for Turn on Shared Calendar Improvements.

  6. Click OK to save your changes.

Step 3: Managing Full Mailbox Rights

  1. Ensure Proper Permissions on Mailbox and Calendar:

  2. If a user has full mailbox rights to a mailbox, avoid setting specific permissions on the calendar itself.

  3. Verify that no one has the calendar listed under both “My Calendars” and “Shared Calendars” simultaneously.

  4. To check calendar permissions, right-click on the calendar name and select Properties. Ensure that only appropriate permissions are set.

Manually Opening a Shared Calendar

If an automated invitation link fails to work, you can manually add a shared calendar to your Outlook client using the steps below.

Before You Start

  • Verify Permissions: Ensure the calendar owner has granted you at least "Can view all details" or "Editor" permissions.
  • Global Address List: These steps assume the user is part of your internal organization. For external calendars, you typically must use the "Add from Web" link provided by the sender.

Outlook for Windows (Classic & New)

The New Outlook and Outlook Web (OWA)

Outlook Classic (Desktop App)

Outlook for Mac

Note: If the calendar does not appear after adding, go to Settings > Accounts > Advanced > Delegates to verify the user appears under the "People I am a delegate for" list.


Troubleshooting Tips

  • Sync Delay: It can take several minutes (and occasionally an Outlook restart) for the initial sync of events to complete.
  • Permissions Issues: If the calendar appears but shows "No Information," the owner may need to re-verify your permission level in their sharing settings.
  • Folder Groups: Check if the calendar was automatically placed inside a "Room Calendars" or "Other Calendars" folder group at the bottom of your list.

 

 

How do I remove a delegate from Microsoft Outlook Calendar

Purpose:
This article explains how to remove someone who has delegate access to your calendar in Microsoft Outlook. Delegates can view your calendar, receive meeting invites, or even send on your behalf.


Steps to Remove a Delegate in Outlook (Windows)

  1. Open Outlook.

  2. Go to the File tab → Account SettingsDelegate Access.

    • In some versions: File → Account Settings → Account Settings → Delegates.

  3. In the Delegates window, you will see a list of people who have access to your mailbox/calendar.

  4. Select the delegate you want to remove (e.g., Debbie Porter).

  5. Click Remove.

  6. Click OK to save changes.

⚠️ Note: Removing a delegate stops them from receiving meeting requests and prevents them from managing your calendar going forward.


Steps to Remove a Delegate in Outlook (Mac)

  1. Open Outlook.

  2. Go to Tools → Accounts → Advanced → Delegates.

  3. Under People I am a delegate for, select the person to remove.

  4. Click the minus (-) button to remove them.

  5. Save your changes.


Additional Notes

  • After removing a delegate, it may take a few minutes for Outlook and Exchange to fully stop sending them meeting invitations.

  • If the delegate continues to receive meeting notifications:

    • Check for Inbox rules that forward meetings.

    • Contact your IT support team to check for hidden delegate rules or legacy calendar settings.


Quick Tips for End Users

  • Always check both “Delegates” and any forwarding rules if a former assistant or coworker continues receiving invites.

  • For private meetings, delegates with old rules may still get invites — IT may need to remove hidden delegate rules on the backend.
