You may publish a calendar from the Settings menu of an Outlook for Web browser window.
- First logon to https://cowboymail.okstate.edu
- Then click the Settings icon, then select “View all outlook settings” from the bottom of the menu as shown below.

- Select Calendar from the Settings menu then Shared calendars from the sub menu as shown below.

- Select a calendar to publish from the drop down menu and select any desired permissions.
- Then click the Publish button to generate a link to your calendar.

- NOTE: Anyone with the link can view the published calendar without authentication.
How do I confirm Calendar Permissions in Microsoft Outlook?

Step 1: Verifying Delegate or Owner Permissions

Ensure users with delegate or owner permissions open the calendar using the Add Calendar option in Outlook.
Step 2: Enabling Shared Calendar Improvements

How do I turn off Outlook calendar notifications?
- Open Outlook, select the File tab, then Options. In the Calendar section, Uncheck "Default reminders"

- Select Advance, and in the Reminders section, uncheck "Show reminders" and "Play reminder sound"

Manually Opening a Shared Calendar
If an automated invitation link fails to work, you can manually add a shared calendar to your Outlook client using the steps below.
Before You Start
- Verify Permissions: Ensure the calendar owner has granted you at least "Can view all details" or "Editor" permissions.
- Global Address List: These steps assume the user is part of your internal organization. For external calendars, you typically must use the "Add from Web" link provided by the sender.
Outlook for Windows (Classic & New)
The New Outlook and Outlook Web (OWA)
- Open the Calendar view on the left-hand side of your screen.

- Click Add Calendar in the left-hand navigation pane.

- A pop-up will appear, on the left-hand side of the pop-up, select Add from directory.

- Click on the Select an account drop-down menu. Then select your primary work account from the dropdown menu.

- Type the name or email address of the person whose calendar you wish to view.

- Select a category (e.g., "People's Calendars") and click Add.

Outlook Classic (Desktop App)
- Navigate to the Calendar module, which is located on the left-hand side of the screen.

- On the Home tab, locate the Manage Calendars group.
- If you are on the Simplified Ribbon view, this will be the three dots on the right-hand side of the ribbon.

- Click Add Calendar and select Open Shared Calendar.
- If you are on the Simplified Ribbon view, this will be just Add. You will then click Open Shared Calendar.

- Click Name to search the Global Address List, or type the user's full email address directly into the box.
- Click OK. The calendar will now appear in your sidebar under the "Shared Calendars" section.

Outlook for Mac
- In Outlook, look on the left-hand side of your screen and switch to the Calendar view.

- Go to the File menu in the top macOS menu bar (Click on the photo to enlarge it).

- Select Open > Shared Calendar.

- Type the name or email of the person or resource in the search box.
- Select the correct user from the results and click Add.

Note: If the calendar does not appear after adding, go to Settings > Accounts > Advanced > Delegates to verify the user appears under the "People I am a delegate for" list.
Troubleshooting Tips
- Sync Delay: It can take several minutes (and occasionally an Outlook restart) for the initial sync of events to complete.
- Permissions Issues: If the calendar appears but shows "No Information," the owner may need to re-verify your permission level in their sharing settings.
- Folder Groups: Check if the calendar was automatically placed inside a "Room Calendars" or "Other Calendars" folder group at the bottom of your list.

Steps to Remove a Delegate in Outlook (Windows)

Open Outlook.

Go to the File tab → Account Settings → Delegate Access.

Steps to Remove a Delegate in Outlook (Mac)

Open Outlook.

Under People I am a delegate for, select the person to remove.
