How do I view the history of a fax in the RightFax system?

To view the history of a fax in the RightFax system, open the fax that you wish to view and select the Fax History button in the top section of the webpage.


How do I authenticate to the RightFax system to access my RightFax account?

To authenticate to your RightFax account open your preferred Internet browser and navigate to the website https://fax.okstate.edu. Authenticate using the appropriate O-Key credentials. If you have issues authenticating to the RightFax system attempt using the format OSU\shortusername for the username field where shortusername is the username (not e-mail address) associated with the account you are using to authenticate.


How do I create a new fax in the RightFax system?

To create a new fax in the RightFax system, select the New Fax button and enter the information for the fax. Enter at least one fax recipient’s name, destination type, and a fax number or email address. Select the Send button to send the fax.


Can I send to multiple recipients?

Yes. You can send to multiple recipients by entering addresses separated by semicolons or selecting multiple contacts.


How do I attach documents to a fax?

  • Click Attachments
  • Upload files from your computer
  • Add as many files as needed

What file types can I send?

RightFax supports many formats including:

  • Word, Excel, PowerPoint
  • PDF, TIFF, JPEG, GIF
  • Text and ZIP files
    These are automatically converted to fax format when sent.

Can I send a fax as a PDF?

Yes.

  • When emailing: recipient gets a PDF attachment
  • When faxing: it’s converted to a fax, but a PDF copy is saved for you

Can I customize the fax cover sheet?

Yes. You can:

  • Add your contact info (name, company, phone)
  • Include custom notes per fax

Where do received faxes appear?

They appear in your fax mailbox in Web Access.


Will I be notified when I receive a fax?

Yes. Notifications are typically sent via email, depending on your settings.


Can I control notifications?

Yes. You can choose:

  • No notifications
  • One-time alerts
  • Periodic reminders until viewed

Can someone else receive my faxes if I’m away?

Yes. You can:

  • Forward notifications to another user
  • Auto-forward incoming faxes to another user or number

How do I view a fax?

  • Double-click the fax in your mailbox
  • Or right-click and select View

Can I annotate or mark a fax?

Yes. You can:

  • Add text
  • Draw shapes
  • Stamp (Approved, Received, Rejected, etc.)

Note: Annotations become permanent once saved.


What is the difference between forwarding and routing?

  • Forwarding: Sends a copy; you keep the original
  • Routing: Sends and removes it from your mailbox

Can I forward faxes outside the organization?​​​​​​​

Yes. You can forward to external fax numbers or email recipients.


Can I print faxes?

Yes. You can:

  • Print manually
  • Set automatic printing for sent/received faxes
