This article explains how Online Archive policies work.

- How Online Archive Policies Work
- Automatic archiving is accomplished using archive policies that determine when messages become eligible to be moved to the Online Archive mailbox..
- When a policy is applied, the Managed Folder Assistant automatically moves eligible messages while preserving the folder structure.
- Messages moved to the Online Archive mailbox are placed in folders with the same name as the original folder.
- Online Archive Policies
- By default, items older than 5 years are automatically moved to the Online Archive mailbox.
- Policies can be adjusted per folder to archive messages sooner or later than the default.
- Processing Details
- The archive policy runs automatically every 7 days for mailboxes larger than 10 MB.
- Mailboxes smaller than 10 MB do not trigger automatic archive policy runs.
- Special Notes
- Folder-level policies control the archiving behavior of messages within that folder.
- Adjustments to special folders may require using Outlook on the Web.
