Body

✉️ Respond to a Meeting Invitation
Accept, decline, or answer tentatively — and let the organizer know why.
✅ Before You Begin
  • You need an active NEO A&M College account with SSO access
  • An internet connection is required
  • An invitation in your inbox or on your calendar
  • 🕐 Estimated time: 2 minutes
💻 Which Outlook do these steps describe?
Written for Outlook on the web and New Outlook for Windows, which share the same layout. Classic Outlook for Windows is laid out differently. If your ribbon has a Send / Receive tab, you are using classic — see Classic Outlook vs. New Outlook, or contact the Help Desk if these steps do not match what you see.

📨 Respond to the Invitation 🕐 ~1 minute  |  Any browser
You can answer from the invitation email in Mail, or straight from the event on your calendar. The buttons are the same in both places.
  1. In Calendar, select the meeting. A summary card opens.
  2. Leave Email organizer ticked if you want the organizer to be told your answer. Untick it to answer silently.
  3. To explain yourself — especially when declining — type into Add a message (optional) first.
  4. Select Accept, Tentative, or Decline.
💡 Tip: A one-line reason on a decline saves the organizer from chasing you. “Teaching at that time — happy to send notes” is enough.

📊 What Each Response Does 🕐 Reference  |  No action needed
Response On your calendar Others see you as
Accept Stays on your calendar Busy
Tentative Stays, shown as not yet confirmed Tentative
Decline Removed from your calendar Free
⚠️ Note: Two things surprise people here. First, a declined meeting is removed from your calendar rather than crossed out. Second, the invitation email disappears from your inbox once you have answered — that is deliberate, and the meeting is already on your calendar. Both behaviours can be changed in Settings → Calendar → Events and invitations.
💡 Tip: Changed your mind? Open the meeting on your calendar and pick a different response. The organizer’s tracking updates. If you declined and the meeting has vanished, find the original invitation in your Deleted Items.
