Check Someone’s Availability

Summary

Three ways to see when a colleague is free in Outlook without emailing them: the attendee chip, the Scheduler grid, and adding their calendar alongside your own. Explains why availability sometimes shows as Unknown.

πŸ” Check Someone’s Availability
Find out when a colleague is free without sending them anything.
βœ… Before You Begin
  • You need an active NEO A&M College account with SSO access
  • An internet connection is required
  • πŸ• Estimated time: 3 minutes
πŸ’» Which Outlook do these steps describe?
Written for Outlook on the web and New Outlook for Windows, which share the same layout. Classic Outlook for Windows is laid out differently. If your ribbon has a Send / Receive tab, you are using classic — see Classic Outlook vs. New Outlook, or contact the Help Desk if these steps do not match what you see.
πŸ“Œ Jump to Your Section

⚑ The Quick Check πŸ• ~30 seconds  |  Any browser
  1. Start a new event — you do not have to send it.
  2. Set the date and time you have in mind.
  3. Type the person’s name into Invite required attendees.
  4. Their name appears as a chip with their status for that time underneath it — for example Available.
  5. Close the event without saving.
πŸ’‘ Tip: This is the fastest answer to “is she free at two?” and it sends nothing to anyone. Nothing leaves your screen until you select Send.

πŸ“Š Compare Several People at Once πŸ• ~2 minutes  |  Any browser
  1. Add everyone you are interested in as attendees.
  2. Select Scheduler.
  3. Read the grid, or select Time suggestions for slots that already work for the group.
⚠️ Note: Detail depends on what each person has shared. Some colleagues show full subjects and locations; others show only coloured blocks. Neither means anything is wrong.

πŸ“… Keep Someone’s Calendar in View πŸ• ~1 minute  |  Ongoing access
If you check the same person constantly — a supervisor, a shared role — add their calendar instead of looking them up each time.
  1. In Calendar, select Add calendar in the left pane.
  2. Select Add from directory.
  3. Choose your account, then type their name and select Add.
πŸ’‘ Tip: Their calendar then appears alongside yours and you can turn it on and off with the tick beside its name. See Open a Shared Calendar in Outlook for the full walkthrough.
