🚪 Search for the Room by Name 🕐 ~2 minutes  |  Any browser
📋 Note: Rooms are found by typing their name, not by browsing. The Browse all rooms panel is empty, so searching is the only route that works — see the next section.
  1. Create your meeting and set the date and time first. Availability is worked out for the time you have chosen, so setting it first means the results are meaningful.
  2. Select Add a room or location.
  3. Type part of the room’s name — for example conference.
    • Bookable rooms appear with a status underneath the name: Available or Unavailable, and often a number showing how many people the room holds.
  4. Select the room you want. Choosing an Available room adds it to the meeting as a resource, which reserves it.
  5. Send the meeting as usual.
💡 Tip: Search a distinctive word from the room name rather than the whole thing. Room names in the directory rarely match what people call them out loud.
⚠️ Note: Rooms in this directory are not named after NEO — searching for NEO returns no rooms at all. Search the room’s own name instead.

🔍 Tell a Real Room From a Plain Label 🕐 Reference  |  Read this
Three different kinds of thing appear in that same suggestion list, and only one of them reserves anything.
  1. A bookable room. Shows Available or Unavailable underneath, usually with a capacity. Selecting it reserves the room.
    • If it says Unavailable, something else already has it at that time. Pick another room or another time.
  2. A place from the internet. Shows a street address underneath — a town, a state. These are map results, not campus rooms, and selecting one attaches a map pin.
  3. Your own typed text. The Use this location line at the top of the list. This records what you typed and reserves nothing.
🚨 Warning: Use this location puts a room’s name on the invitation without booking it. The meeting looks identical to attendees either way, so it is worth checking that the room you picked showed an availability status before you rely on having it.
⚠️ Note: Some room names carry a campus prefix — for example STW_ for Stillwater. Check the prefix before booking so you do not reserve a room on another campus.

🏢 Why Browsing by Building Finds Nothing 🕐 Expected  |  Not a fault
If you select Browse all rooms, the Room Finder panel opens with filters for building, floor, capacity, and features. It will report that it did not find any conference rooms, and the building list will be empty.
  1. This is the expected result today. Rooms exist, but they have not been grouped into the building lists that this panel reads from.
  2. Nothing is wrong with your account, and there is nothing to reset.
  3. Search by name instead, as described above.
💡 Tip: If you do not know any room names to search for, ask a colleague in your building what the room is called in Outlook. That name is often nothing like the sign on the door.

🎥 If You Do Not Need a Physical Room 🕐 ~30 seconds  |  Any browser
  1. Leave the Teams meeting toggle on — it switches on by itself once you add an attendee.
  2. A join link is added to the invitation automatically, and there is no room to compete over.
💡 Tip: For a hybrid meeting, do both: book the room so the space is genuinely held, and leave the Teams link on for everyone attending remotely.
