Add someone else’s calendar, or a department calendar, next to your own.

  • Someone must have shared the calendar with you, or the calendar must be visible to everyone at NEO

📂 Add the Calendar 🕐 ~2 minutes  |  Any browser
  1. In Calendar, select Add calendar in the pane on the left.
  2. Select Add from directory.
  3. Under Please select an account to search from, choose your NEO account.
  4. Type the person, group, or resource name into Enter a name or email address and pick it from the suggestions.
  5. Select Add.
💡 Tip: If you were sent a sharing invitation by email, opening that invitation and accepting it does the same job in one step.
⚠️ Note: The same window can also add holiday calendars, subscribe to a calendar published on the web, or upload an .ics file — those are the other entries in the list on the left.

Added calendars are listed in the left pane under your own.
  1. Select the tick beside a calendar’s name to show or hide it. Hiding does not remove it.
  2. Select Show all to bring every calendar back into view at once.
  3. To remove a calendar for good, right-click its name and choose the option to remove it.
💡 Tip: Turn off calendars you are not actively using. Four or five overlaid calendars turn a week view into an unreadable wall of colour.
⚠️ Note: Removing a shared calendar from your view does not change your permission on it. If you add it again later, you will have the same access you had before.

🔍 If You Cannot See Enough Detail 🕐 Reference  |  Troubleshooting
Seeing only blocks of colour, with no titles, is a permission level rather than a fault.
  1. Blocks with no titles means you have Can view when I’m busy.
  2. Titles but no notes or attendees means you have Can view titles and locations.
  3. To see more, ask the calendar’s owner to raise your access. Only they can change it.
💡 Tip: Tell the owner what you need to do rather than naming a permission level — “I need to see who else is invited” gets you to the right setting faster than guessing at its name.

⚠️ Note: These steps come from Microsoft’s current published documentation for classic Outlook rather than from a hands-on walkthrough on a NEO machine. The button and dialog names should match; if yours differ, tell the Help Desk so this article can be corrected.
  1. Select Calendar, then the Home tab.
  2. Select Add Calendar.
  3. Choose Open Shared Calendar to enter a person’s name, or From Address Book to pick them from the directory.
  4. Select OK. The calendar appears under Shared Calendars in the folder pane.
💡 Tip: If you were emailed a sharing invitation, opening it and selecting Accept adds the calendar for you without any of this.
