Summary
How to mark an Outlook calendar event as private so people you share your calendar with see only that you are busy, not what the event is. Covers both ways to set it and what Private does not protect.
Body
🔒 Mark an Event as Private
Keep the details of one event hidden from people who can see your calendar.
✅ Before You Begin
- You need an active NEO A&M College account with SSO access
- An internet connection is required
- The event must be on a calendar you own
- 🕐 Estimated time: 2 minutes
💻 Which Outlook do these steps describe?
Written for
Outlook on the web and
New Outlook for Windows, which share the same layout.
Classic Outlook for Windows is laid out differently. If your ribbon has a
Send / Receive tab, you are using classic — see
Classic Outlook vs. New Outlook, or contact the Help Desk if these steps do not match what you see.
🔒 Mark a New Event Private 🕐 ~1 minute | Any browser
- Create the event as usual.
- Select the padlock icon in the toolbar along the top of the event form. It is labelled with the current setting — Not private to begin with.
- Choose Private.
- Select Save or Send.
⚡ Mark an Existing Event Private 🕐 ~30 seconds | Any browser
You do not have to open an event to change this.
- In Calendar, right-click the event.
- Select Private.
💡 Tip: This is the quicker route when you are tidying several events at once — for example after adding personal appointments to a work calendar.
⚠️ What Private Does Not Do 🕐 Reference | Read this
Private hides the details of an event from most people who can see your calendar. They still see that you are busy at that time, which is what keeps them from booking over you.
- It does not hide the event from a Delegate, depending on how the delegation was set up.
- It does not hide anything from attendees — people invited to the event see it in full.
- It does not encrypt or protect the content in any way.
🚨 Warning: Do not treat Private as a security control. It is a courtesy marker that keeps casual viewers from reading your appointment titles. Confidential information — student records, personnel matters, credentials — does not belong in a calendar entry whether it is marked private or not.
