Problems With a Shared Calendar

Summary

What to do when a shared calendar in Outlook has vanished from your list, will not open, shows less detail than expected, or will not accept your changes. Separates the causes you can fix yourself from the ones only the owner can.

👥 Problems With a Shared Calendar
It has disappeared, it will not open, or you cannot see what you expected.
✅ Before You Begin
  • You need an active NEO A&M College account with SSO access
  • An internet connection is required
  • The name of the calendar, and who owns it
  • 🕐 Estimated time: 6 minutes
💻 Which Outlook do these steps describe?
Written for Outlook on the web and New Outlook for Windows, which share the same layout. Classic Outlook for Windows is laid out differently. If your ribbon has a Send / Receive tab, you are using classic — see Classic Outlook vs. New Outlook, or contact the Help Desk if these steps do not match what you see.

❌ It Has Disappeared From My List 🕐 ~2 minutes  |  Any browser
  1. Select Show all in the left pane — a hidden calendar looks identical to a removed one.
  2. If it is genuinely gone, add it again: Add calendar → Add from directory, then search for it.
  3. If adding it back fails, your access has probably been removed. Ask the owner.
⚠️ Note: Removing a calendar from your own view does not remove your permission. If you can add it back without asking anyone, nothing was ever taken away.

🔍 I Cannot See Enough Detail 🕐 ~1 minute  |  Ask the owner
This is almost always a permission level rather than a fault.
  1. Coloured blocks with no titles means Can view when I’m busy.
  2. Titles but no notes or attendees means Can view titles and locations.
  3. Individual events showing as busy with no details, while the rest of the calendar is readable, means those events are marked Private.
💡 Tip: Only the owner can change your level. Ask them for what you need to do rather than for a permission name.

✏️ I Cannot Add or Change Events 🕐 ~1 minute  |  Ask the owner
  1. You need Can edit or Delegate to create or change events on someone else’s calendar. Every view-only level is read-only.
  2. Ask the owner to raise your level.
  3. Check you are actually working on the shared calendar and not your own — the calendar name is shown at the top of the event form.
⚠️ Note: A common version of this: the event saves without complaint but nobody else can see it. That means it went onto your personal calendar. Open it and check the calendar name at the top.

📨 I Was Sent an Invitation That Will Not Open 🕐 ~2 minutes  |  Any browser
  1. Open the sharing invitation from the email rather than forwarding it to yourself.
  2. If the link does not work, ignore it and add the calendar directly: Add calendar → Add from directory.
  3. If the calendar cannot be found in the directory, ask the owner to confirm they shared it with the right address.
💡 Tip: Adding from the directory works whether or not you still have the invitation email, so it is worth trying before asking anyone to send it again.
