Someone has the wrong level of access, or a change has not taken effect.

👤 Work Out Who Can Fix It 🕐 ~1 minute | Reference
Only the owner of a calendar can change permissions on it. Not the person who wants access, and not another editor.
- If you can open Sharing and permissions for the calendar and change the dropdowns, you own it and you can fix this yourself.
- If you cannot, find the owner. For a department calendar that is usually whoever set it up.
- Having Can edit does not let you grant access to anyone else.
🔍 Check the Current Level 🕐 ~2 minutes | Owner only
- In Calendar, select Share on the Home tab and choose the calendar.
- Find the person under Inside your organization and read their current level.
- Compare it against what they actually need. See Calendar Permission Levels Explained.
- Also check the People in my organization row — it sets a floor for everyone at NEO, and can be the reason someone sees more than you intended.
💡 Tip: If someone is seeing more than they should, look at that organization-wide row before looking at their individual entry. It is the setting people forget exists.
⏰ The Change Has Not Taken Effect 🕐 ~2 minutes | Both sides
- Have the other person close and reopen Outlook.
- Have them remove the calendar from their view and add it again through Add calendar → Add from directory.
- Confirm the access was granted to the right address — similar names in the directory are easy to mix up.
⚠️ Note: Permission changes are not instant everywhere. Give it time before escalating, particularly if the person is on a phone as well as a computer.
⚠️ Nobody Available Owns the Calendar 🕐 Contact the Help Desk
This comes up when the person who created a department calendar has left or changed roles.
- Gather the exact calendar name as it appears in Outlook.
- Note who needs access and what they need to be able to do.
- Contact the Help Desk with both.
💡 Tip: Worth heading off: when someone changes role, review any calendars they owned at the same time as their other accounts. An orphaned calendar is much harder to sort out later than before they leave.
