No rooms appear, the room was declined, or two meetings claim the same space.

🏢 Browsing Shows No Rooms At All 🕐 Expected | Not a fault
📋 Note: The Room Finder panel — the one with building, floor, and capacity filters — reports that it found no conference rooms, and its building list is empty. This is the expected result today, not a fault on your account.
Rooms exist; they have not been grouped into the building lists this panel reads from.
- Close the Room Finder.
- Type part of the room’s name into Add a room or location instead.
- Bookable rooms appear with Available or Unavailable underneath.
💡 Tip: There is nothing to reinstall or reset. If building lists are configured in future, they will appear for everyone at once.
🔍 The Room Does Not Come Up When I Search 🕐 ~2 minutes | Any browser
- Try a shorter or different part of the name. Room names in the directory are often not what people call the room in conversation.
- Try a generic word such as
conference to see what exists, then recognise yours in the list.
- Searching for
NEO will not find rooms — no room in the directory is named that way.
- If it genuinely is not there, it has not been set up as a bookable resource. Typing the name records it on the invitation but reserves nothing.
⚠️ Note: A room you cannot find by name is not necessarily unavailable to you — it may not exist in Outlook as a bookable resource at all. If your building has its own reservation process, that is what holds the room.
❌ The Room Declined My Meeting 🕐 ~1 minute | Any browser
Rooms respond to invitations the way people do. A decline arriving from a room is the booking system answering, not a person.
- Check whether the room showed Unavailable for your time. Something else already had it.
- Pick another time, or another room, and send again.
- Check you did not request it outside the hours the room accepts bookings for.
💡 Tip: Set the meeting time before searching for the room. Availability is calculated for the time currently on the form, so searching first and setting the time afterwards can show you a room as free when it is not.
⚠️ Two Meetings, One Room 🕐 Reference | Read this
This nearly always comes down to one of the two meetings having typed the room name rather than booked the room.
- Open both meetings and look at the location.
- A meeting that reserved the room has the room attached as a resource, and the room responded to the invitation.
- A meeting that used Use this location has plain text. Outlook never knew about it and could not warn anyone.
🚨 Warning: An invitation showing a room is not proof the room was reserved. Where the venue matters, confirm the room actually accepted the meeting before telling attendees where to go.
