âī¸ Write and Send đ ~2 minutes | Web and New Outlook
- Select New mail on the Home tab.
- Type the recipient in the To box.
- Start typing a name and Outlook offers matching NEO people. Choosing from the list is safer than typing an address by hand.
- Add a Subject. Messages without one are easy for the reader to lose.
- Write your message, then select Send.
đĄ Tip: To add Cc or Bcc, select those options to the right of the To box. Use Bcc when emailing a large group so recipients cannot see each other’s addresses.
â ī¸ Note: In classic Outlook the button is New Email rather than New mail. Everything else works the same way.
âŠī¸ Reply and Forward đ ~2 minutes | Home tab
Open a message, then use the buttons on the Home tab.
- Reply writes back to the sender only.
- Reply all writes back to the sender and everyone else who received it.
- Check the recipient list before sending. Reply all on a large distribution list is the most common email mistake at any organization.
- Forward sends the message on to someone new, including any attachments.
đ¨ Warning: Forwarding a message sends the whole conversation, including anything written earlier in the thread. Read back through it before forwarding anything that discusses a student, an employee, or a contract.
âļ Undo a Message You Just Sent đ Seconds | Act immediately
Outlook can hold a message briefly after you select Send, giving you a few seconds to stop it.
- Immediately after sending, look for Undo.
- Select it before the countdown finishes. The message returns to a draft.
â ī¸ Note: The undo window is short and set by the system. Once it passes, the message is delivered and cannot be pulled back from anyone outside NEO.
đĄ Tip: If the message has already gone and it matters — wrong recipient, sensitive attachment — contact the Help Desk rather than sending a second email drawing attention to it.
