Create, edit, and delete an email signature in Outlook, and choose whether it is added automatically to new messages, to replies, or both. Includes what NEO expects a staff signature to contain.

Set the block of contact details that goes out with your mail.

  • You need an active NEO A&M College account with SSO access
  • An internet connection is required
  • Your job title and department, as you want them to appear

Written for Outlook on the web and New Outlook for Windows, which share the same layout. Classic Outlook for Windows is laid out differently — if your ribbon has a Send / Receive tab, you are using classic. See Classic Outlook vs. New Outlook.

✎️ Create a Signature 🕐 ~5 minutes  |  Web and New Outlook
  1. Select the Settings gear in the top-right corner.
  2. Select Accounts, then Signatures.
  3. Select Add signature.
  4. Give the signature a name, then type the signature itself in the box below.
    • The name is only for you — it is how you pick this signature later. Recipients never see it.
  5. Select Save.
💡 Tip: Keep it to name, title, department, NEO A&M College, and a phone number. Long signatures with images and quotations are harder to read on a phone and often get stripped by other mail systems.

🔄 Use It Automatically 🕐 ~1 minute  |  Same screen
A signature is not added to anything until you choose where it applies. This is the step people miss.
  1. On the same Signatures screen, find Default for new messages and pick your signature.
  2. Find Default for replies and forwards and pick a signature there too.
  3. You can choose a different one for each, or (none) for replies.
    • Many people use the full signature on new messages and a shorter one, or none, on replies, so long threads do not fill up with repeated contact details.
⚠️ Note: If you created a signature but it is not appearing, this is almost always why — it exists, but it has not been set as a default for anything.

🗑️ Change or Remove a Signature 🕐 ~2 minutes  |  Same screen
  1. Go to Settings → Accounts → Signatures.
  2. Select the signature you want to change.
  3. Select Edit signature to change it, or Delete signature to remove it.
  4. Select Save.
⚠️ Note: In classic Outlook, signatures live under File → Options → Mail → Signatures. A signature made in classic Outlook is stored on that computer and does not follow you to the web or to another machine; one made on the web does follow you.
