Summary
Search your Outlook mailbox by sender, subject, date, or attachment, and check the places a message hides — Other, Junk, Archive, and Deleted Items. Read this before reporting a missing email.

🔍 Find an Email You Cannot Locate
Search properly before concluding a message is gone.
✅ Before You Begin
- You need an active NEO A&M College account with SSO access
- An internet connection is required
- Anything you remember: who sent it, roughly when, a word from the subject
- 🕐 Estimated time: 10 minutes
💻 Which Outlook do these steps describe?
Written for
Outlook on the web and
New Outlook for Windows, which share the same layout.
Classic Outlook for Windows is laid out differently — if your ribbon has a
Send / Receive tab, you are using classic. See
Classic Outlook vs. New Outlook.
🔍 Search Your Mailbox 🕐 ~2 minutes | Top of the window
- Select the search box at the top, labelled Search for email, meetings, files and more.
- Type what you remember and press Enter.
- A sender’s surname or one distinctive word from the subject usually works better than a whole phrase.
- Use the filters offered with the results to narrow by date, sender, or whether the message has an attachment.
- Check that the search is looking at the right folder.
- Search often defaults to the current folder. Widen it to all folders, or to your whole mailbox, before deciding a message is missing.
💡 Tip: Search covers your whole mailbox, not just the inbox — including Archive, Sent Items, and folders you have filed things into.
👁️ Where Messages Hide 🕐 ~5 minutes | Check all four
A message that has genuinely arrived is nearly always in one of these.
- The Other tab. If Focused Inbox is on, less important mail goes to Other rather than Focused.
- This is the single most common cause of "I never got it".
- Junk Email. Legitimate mail lands there more often than people expect, especially from outside senders.
- Archive. Easy to hit by accident, or by a rule you set up months ago.
- Deleted Items. Still recoverable from here.
- A rule filed it. Check Settings → Mail → Rules for anything matching that sender.
💡 Tip: Still nothing? Ask the sender to confirm the exact address they used. A single wrong character is a common and invisible cause — and they may have a bounce message telling them so.
