📧 What a Shared Mailbox Is Read first | ~2 minutes
A shared mailbox is an address several people work from — a department, a committee, a service desk. It has no password of its own; you reach it with your own account.
- Everyone with access sees the same messages, read or unread.
- A reply you send from it comes from the shared address, not from you personally.
- Mail sent from it is normally kept in the shared Sent Items, so colleagues can see what was answered.
⚠️ Note: Because it is shared, treat everything in it as visible to the whole team. Anything genuinely personal belongs in your own mailbox.

⚠️ Note: These steps come from Microsoft’s current published documentation rather than from a walkthrough on a NEO computer. The button names should match; if yours differ, tell the Help Desk so this article can be corrected.
- Select the Settings gear, then Accounts, then Shared with me.
- Add the shared mailbox by its address.
- It appears as its own section in the folder list on the left.
- You may need to close and reopen Outlook the first time.
💡 Tip: You can also open a shared mailbox in its own browser tab, which some people find clearer when working in it all day.
⚠️ Note: Access can take a little while to take effect after the Help Desk grants it. If it is not there after a few hours, tell us — do not keep re-adding it.
✉️ Send From the Shared Address 🕐 ~2 minutes | While composing
By default a new message comes from you. You have to choose the shared address deliberately.
- Start a New mail.
- Select the From button and choose the shared mailbox address.
- Write and send as normal.
🚨 Warning: If From still shows your own address, the reply goes out as you personally. On a service or committee mailbox that is usually not what you or the recipient want — check it before sending.
