๐ Check Your Usage ๐ ~2 minutes | Settings
- Select the Settings gear in the top-right corner.
- Select Accounts, then Storage.
- The breakdown shows which folders are using the most space.
๐ก Tip: Work down from the largest folder. Clearing the biggest one is usually quicker than tidying everywhere at once.
๐งน Free Up Space Safely ๐ ~15 minutes | In this order
Start with the things nobody needs to keep.
- Empty Deleted Items. You already decided you did not want these.
- Empty Junk Email. Same.
- Find large attachments. Search your mailbox, then filter the results to messages with attachments and sort by size.
- A handful of old video or scan attachments often accounts for most of a full mailbox.
- Save anything worth keeping to OneDrive first, then delete the message.
- The file is then in a place designed for it, and it stops taking mailbox space.
- Use Sweep on newsletters and system notifications you never need to keep — see Organize Your Mail with Folders.
โ ๏ธ Note: Archiving moves mail out of the inbox but it still counts toward your mailbox. To actually free space you have to delete, or move the content to OneDrive.
๐ What You May Have to Keep Read before deleting | ~2 minutes
Some NEO mail is a record, not just correspondence.
- Anything about a student’s record, grades, or financial aid.
- Contracts, purchase approvals, and invoices.
- Anything relating to an open complaint, investigation, or audit.
- Anything you have been told to preserve.
๐จ Warning: If you have been notified that your mail is subject to a legal or audit hold, do not delete anything at all — including Junk and Deleted Items. Contact the Help Desk and we will find another way to get you working.
๐ก Tip: If you are unsure whether something is a record, ask before deleting. Recovering deleted mail is possible only for a limited period.
