Body
🖥️ Share Your Screen in a Teams Meeting
Show a document, a slide deck, or your whole desktop.
✅ Before You Begin
- You need an active NEO A&M College account with SSO access
- An internet connection is required
- Whatever you intend to show, already open
- 🕐 Estimated time: 10 minutes
👁️ Before You Share Read this first | ~1 minute
Sharing your whole screen shows everything on it, live, to everyone in the meeting.
- Close anything you would not want the room to read — email, chats, student records, another meeting.
- Turn off notification pop-ups if you can. A message preview appearing mid-presentation is visible to everyone.
- Decide whether you need the whole screen or just one window. Sharing a single window is almost always the safer choice.
🚨 Warning: Sharing your screen with student records, personnel files, or anything covered by FERPA visible on it is a data disclosure, even if nobody comments. Share a single window instead of the whole desktop when you are working with anything sensitive.
🖥️ Share It 🕐 ~2 minutes | In a meeting
⚠️ Note: These steps come from Microsoft’s current published documentation rather than from a walkthrough on a NEO computer. The button names should match; if yours differ, tell the Help Desk so this article can be corrected.
- In the meeting controls, select Share.
- Choose Screen to show everything, or pick a single window to show only that.
- If you are showing slides, share the presentation window rather than the screen.
- Turn on Include computer sound if you are playing video or audio.
- Without it, people see the video but hear nothing — a very common and very noticeable mistake.
- Select Stop sharing when you are finished.
💡 Tip: A red border marks what is currently being shared. If you cannot remember whether you are still sharing, look for it.
👋 Let Someone Else Drive 🕐 ~2 minutes | Optional
⚠️ Note: These steps come from Microsoft’s current published documentation rather than from a walkthrough on a NEO computer. The button names should match; if yours differ, tell the Help Desk so this article can be corrected.
- While sharing, select Give control and choose the person.
- They can then move your mouse and type on your computer.
- Select Take back control to end it.
🚨 Warning: Giving control means giving somebody real control of your computer, not just the shared window. Only do it with a colleague you know, for as long as it takes, and take control back straight away. NEO IT will never ask for control of your machine through an unexpected Teams call.
