Four tools, four jobs. Most confusion comes from using one for another’s job.
- Email — reaching someone outside your team, anything that needs a record, anything formal.
- Teams chat — quick back-and-forth with people you work with daily.
- A Teams channel — work a group shares, that a new member should be able to read back through.
- OneDrive — your own files. Drafts, notes, anything not yet shared.
💡 Tip: The test that settles most cases: would a colleague joining next month need to find this? If yes, it belongs in a team channel, not a chat and not your OneDrive.

🚨 Warning: A departmental file kept only in one person’s OneDrive goes with them. This is the single most common cause of work being lost when somebody changes role — not deletion, just ownership.
🚫 The Mistakes Worth Avoiding Reference | ~1 minute
- Emailing attachments back and forth. Everyone ends up with a different version. Share a link instead.
- Important decisions in a Teams chat. Nobody who joins later can find them. Post in a channel.
- Departmental files in personal OneDrive. They leave when you do.
- Chasing an urgent thing by email. If it needs answering in the next hour, use chat or the phone.
💡 Tip: None of this is a rule you will be told off for breaking. It is just what makes work findable in six months.
