Purpose
This article explains how to search the Online Archive in Outlook.
Requirements
- Valid Okey account.
- Outlook web or New Outlook desktop app or Classic Outlook desktop app
Step-by-Step Procedures
Note: Per Microsoft documentation, archived calendars may only be accessed in the Outlook client.
- Search All Mailboxes (Primary mailbox + Online Archive mailbox).
- Open Outlook.
- Click inside the Search bar at the top of the window.
- Select the drop-down menu in the search bar.
- Choose All Folders (Can vary depending on Outlook client).
- Type the word, name, or subject you want to search for.
- Press Enter to view the results.
- Use Search Filters to Narrow Results.
- Click inside the Search bar.
- Select the drop-down arrow at the end of the search box
- In Outlook on the web, select Filters at the end of the search bar.
- Choose the filter(s) you want to apply (Can vary depending on Outlook client):
- Folder
- To
- CC
- Subject
- Keywords
- Date
- Read Status
- Attachments
- Enter the relevant details for the selected filter.
- Press Enter to run the filtered search.
- Search Only the Online Archive Mailbox.
- Open Outlook.
- In the navigation pane, click In-Place or Online Archive depending on Outlook client.
- Outlook Web App: In-Place Archive – Last, First
- New Outlook desktop app: Online Archive – Last, First
- Outlook Classic desktop app: Online Archive – account.name@okstate.edu
- Click inside the Search bar.
- Select the drop-down menu in the search bar.
- Choose Current Folder.
- Type your search term.
- Press Enter to view results from the Online Archive only.
