This article explains how Online Archive policies work.

General Information

  • How Online Archive Policies Work
    • Automatic archiving is accomplished using archive policies that determine when messages become eligible to be moved to the Online Archive mailbox..  
    • When a policy is applied, the Managed Folder Assistant automatically moves eligible messages while preserving the folder structure.
    • Messages moved to the Online Archive mailbox are placed in folders with the same name as the original folder.
  • Online Archive Policies
    • By default, items older than 5 years are automatically moved to the Online Archive mailbox.
    • Policies can be adjusted per folder to archive messages sooner or later than the default.
  • Processing Details
    • The archive policy runs automatically every 7 days for mailboxes larger than 10 MB.
    • Mailboxes smaller than 10 MB do not trigger automatic archive policy runs.
  • Special Notes
    • Folder-level policies control the archiving behavior of messages within that folder.
    • Adjustments to special folders may require using Outlook on the Web.
