Adjusting Permissions for a Shared OneDrive File or Folder
Change who can view or edit content you've already shared in OneDrive
📋 Before You Begin
Make sure you have the following ready:
• A NEO Microsoft 365 account with access to OneDrive.
• The file or folder must already be shared and owned by you (you can only change permissions on items you own).
• The name or email address of the person whose access you want to change.
• A modern web browser (Microsoft Edge, Chrome, or Firefox).
1. Sign In to OneDrive⏱️ ~2 min
Step 1: Open your browser and go to portal.office.com.
Step 2: When prompted, sign in using your NEO single sign-on (SSO) credentials at the neo.edu domain (for example, username@neo.edu).
Step 3: From the app launcher (the grid icon in the top-left), select OneDrive.
Step 4: In the left navigation pane, click My files to locate the file or folder you shared.
2. Open Manage Access⏱️ ~1 min
Step 1: Hover over the file or folder you want to update and click the circle to select it.
Step 2: Click Share in the top toolbar (or right-click the item and choose Share).
Step 3: In the sharing window, click the Settings gear icon, then select Manage access.
💡 Tip
The Manage access panel lists everyone who currently has access, grouped by People (direct invites) and Links (shareable links). This is the central place to review and change all permissions.
3. Change a Person's View / Edit Access⏱️ ~2 min
Step 1: In the Manage access panel, find the person under the People section whose access you want to change.
Step 2: Click the permission drop-down next to their name (it will currently read either Can view or Can edit).
Step 3: Choose the new permission level:
◦ Can edit — allows the person to open, change, and save the content.
◦ Can view — allows the person to open and read the content only, with no changes.
Step 4: The change saves automatically. Close the panel when finished.
⚠️ Warning
Changing someone from Can edit to Can view does not undo edits they've already made. Review the item's version history if you need to restore earlier content.
4. Stop Sharing (Remove Access)⏱️ ~1 min
Step 1: In the Manage access panel, locate the person under the People section.
Step 2: Click the permission drop-down next to their name.
Step 3: Select Stop sharing to remove that person's access entirely.
Step 4: Confirm the change if prompted. The person will no longer be able to open the file or folder.
💡 Tip
To remove access for everyone at once, click the Stop sharing button at the top of the Manage access panel. This resets the item so only you can access it.
5. Adjust Shared Link Settings⏱️ ~2 min
Step 1: In the Manage access panel, scroll to the Links section.
Step 2: Click the Settings gear next to the link you want to modify.
Step 3: Toggle Can edit on or off to control whether link recipients can change the content.
Step 4: Optionally set an expiration date or password to further limit access.
Step 5: To disable a link completely, click the X or Delete next to it. Anyone relying on that link will lose access.
⚠️ Warning
Anyone who received an "Anyone with the link" share can forward it to others. If the content is sensitive, use direct People invites instead of open links.
