💾 Connect, Format, and Safely Eject External Drives
How to connect a USB external drive or flash drive, format it for use, and safely eject it to prevent data loss on Windows and macOS.
✅ Before You Begin
Make sure the external drive is in good physical condition and that its USB connector matches an available port on your computer.
Back up any important data on the drive before formatting — formatting erases everything on the drive.
If this is a university-managed device, confirm that external/USB storage is permitted by your department's security policy.
Step 1 — Connect an external drive

- Plug the drive's USB connector into an available USB port on your computer.
- Wait a few seconds for the operating system to detect the drive and install any needed drivers.
- On Windows, open File Explorer and look for the drive under This PC. On macOS, the drive icon appears on the desktop and in the Finder sidebar.
- If the drive does not appear, try a different USB port or cable before assuming the drive has failed.
💡 Tip: USB-C and USB-A ports look different. If your drive's connector does not fit, use the correct adapter rather than forcing it.
Step 2 — Format the drive

On Windows
- Open File Explorer and click This PC.
- Right-click the external drive and choose Format.
- Choose a file system: exFAT for drives shared between Windows and macOS, or NTFS for Windows-only use.
- Click Start, then confirm to begin formatting.
On macOS
- Open Disk Utility from Applications > Utilities.
- Select the external drive in the left sidebar.
- Click Erase, choose a format (ExFAT for cross-platform use), and give the drive a name.
- Click Erase to format the drive.
⚠ Warning: Formatting permanently erases all data on the drive. Double-check that you have selected the correct drive and backed up anything you need before continuing.
Step 3 — Safely eject the drive

On Windows
- Click the Show hidden icons arrow in the system tray.
- Click the Safely Remove Hardware icon.
- Select your drive from the list and wait for the Safe to Remove Hardware message before unplugging it.
On macOS
- In Finder, click the eject icon next to the drive in the sidebar, or drag the drive icon to the Trash (which becomes an Eject icon).
- Wait until the drive disappears from the desktop before unplugging it.
⚠ Warning: Unplugging a drive without ejecting it can corrupt files or damage the drive, especially if a transfer is still in progress.
