Before You Begin
- You need an active NEO A&M College account with SSO access
- An internet connection is required
- At least one attendee added to the meeting

Open the Scheduler π ~2 minutes | Any browser
- Start a new meeting and add your attendees.
- Select Scheduler at the right-hand end of the date and time line.
- The grid shows one row per person, with the days across the top.
- Required attendees and Optional attendees are listed separately, each with an Add line for more people.
- The Availability row at the top combines everyone into a single view.
- Drag the highlighted block, or change the times at the top, until it sits in a clear space.
- Select Back to return to the meeting form, then send as usual.
π‘ Tip: Select Time suggestions at the bottom of the grid and Outlook proposes slots outright, each labelled with how many attendees are free. It is faster than reading the grid yourself when you have more than three or four people.
π¨ Read the Availability Colours π Reference | No action needed
The legend runs along the bottom of the Scheduler. Six states are shown:
- Busy β committed time.
- Tentative β they have an invitation they have not firmly accepted.
- Out of office β away. Treat this as harder to move than Busy.
- Working elsewhere β available, but not on campus.
- Outside of working hours β outside the hours they have set in Outlook.
- Unknown β Outlook could not read their calendar.
β οΈ Note: Unknown usually means the person has not shared their calendar with the organization, not that they are free. Do not read an empty-looking row as an open one β ask them.
π‘ Tip: Select Options in the Scheduler toolbar to turn off Show only my working hours when you need to schedule an early or late meeting.
