π₯ Add a Teams Link to a Meeting
Every meeting you schedule gets an online link β here is how to control it.
β
Before You Begin
- You need an active NEO A&M College account with SSO access
- An internet connection is required
- A NEO account licensed for Microsoft Teams
- π Estimated time: 3 minutes
π» Which Outlook do these steps describe?
Written for
Outlook on the web and
New Outlook for Windows, which share the same layout.
Classic Outlook for Windows is laid out differently. If your ribbon has a
Send / Receive tab, you are using classic β see
Classic Outlook vs. New Outlook, or contact the Help Desk if these steps do not match what you see.
π Jump to Your Section
π₯ Turn It On or Off for One Meeting π ~1 minute | Any browser
The Teams meeting toggle sits directly under the location line on the meeting form.
- Create your meeting as usual.
- Add at least one attendee. Teams meeting switches itself on at that point.
- To hold the meeting in person only, switch Teams meeting back off before sending.
- Send the meeting. The join link is added to the invitation for you β you do not need to paste anything.
β οΈ Note: The toggle carries a note explaining the behaviour: βThis will be turned on automatically once you add an attendee.β That is the setting described in the next section doing its job, not a fault.
π‘ Tip: Switching the toggle off after an invitation has already gone out removes the join link and sends everyone an update. Decide before you send where you can.
βοΈ Change the Default π ~2 minutes | Changes all future meetings
- Select the Settings gear in the top-right corner of Outlook.
- Select Calendar, then Events and invitations.
- Under Events you create, untick Add online meeting to all meetings to stop links being added automatically.
- To keep automatic links but use a different service, leave it ticked and pick a provider under Choose a meeting provider.
π‘ Tip: Both Microsoft Teams and Zoom are available as providers on NEO accounts. If your department runs its meetings in Zoom, setting it here once saves changing it on every meeting.
β οΈ Note: This setting only affects meetings you create from now on. Meetings already in your calendar keep whatever link they were sent with.
