๐ See Who Has Access ๐ ~1 minute | Any browser
- In Calendar, select Share on the Home tab.
- Choose the calendar you want to review.
- Everyone with access is listed under Inside your organization, each with their current permission level.
๐ก Tip: Worth doing once a semester on any calendar that more than a couple of people can edit. Access tends to accumulate quietly as people change roles.
๐ ๏ธ Change Someoneโs Access ๐ ~1 minute | Owner only
- Open Sharing and permissions for the calendar.
- Find the person in the list.
- Choose a different level from the dropdown beside their name.
โ ๏ธ Note: The change takes effect straight away. The person is not emailed about it, so tell them yourself if the change affects work they were relying on.
โ Remove Someoneโs Access ๐ ~1 minute | Owner only
- Open Sharing and permissions for the calendar.
- Select the trash-can icon at the end of that personโs row.
โ ๏ธ Note: There is no Not shared option on an individualโs dropdown โ the trash-can icon is how removal works. Not shared appears only on the People in my organization row, which controls everyone at once.
๐ก Tip: When someone changes role or leaves, removing calendar access is easy to forget because nothing breaks when you miss it. Check any department calendar they helped manage, and any delegate access they held, at the same time as their other accounts.

โ ๏ธ Note: These steps come from Microsoftโs current published documentation for classic Outlook rather than from a hands-on walkthrough on a NEO machine. The button and dialog names should match; if yours differ, tell the Help Desk so this article can be corrected.
Classic Outlook has two different places to manage calendar sharing, and they do not look the same. Which one you want depends on whether you are inviting somebody new or adjusting somebody who already has access.
- To invite somebody new:
- Select Calendar in the bottom-left corner of Outlook.
- On the Home tab, select Share Calendar, then pick the calendar.
- In the Calendar Properties dialog, select Add.
- Find the person in the Add Users dialog and select OK.
- Select their name in the list, choose a permission level, then select OK.
- To change or remove somebody who already has access:
- Select the calendar, then open the Folder tab.
- Select Calendar Properties, then the Permissions tab.
- Select the person under Currently sharing with.
- Change their level, or select Remove, then select OK.
โ ๏ธ Note: The Permissions tab labels access differently from the sharing invitation โ it uses names such as Reviewer and Editor instead of Can view all details and Can edit. See Calendar Permission Levels Explained for what each one means.
