A Meeting Is Missing From My Calendar

πŸ” A Meeting Is Missing From My Calendar
Work through the usual causes before assuming the invitation never arrived.
βœ… Before You Begin
  • You need an active NEO A&M College account with SSO access
  • An internet connection is required
  • The meeting’s title and roughly when it should be, if you know them
  • πŸ• Estimated time: 5 minutes
πŸ’» Which Outlook do these steps describe?
Written for Outlook on the web and New Outlook for Windows, which share the same layout. Classic Outlook for Windows is laid out differently. If your ribbon has a Send / Receive tab, you are using classic β€” see Classic Outlook vs. New Outlook, or contact the Help Desk if these steps do not match what you see.

πŸ‘ Check Whether It Is Hidden πŸ• ~1 minute  |  Try this first
Two controls hide events without removing them, and both are easy to leave switched on by accident. Between them they account for most β€œmissing” meetings.
  1. Look at the calendar list in the left pane. Each calendar has a tick beside it; an unticked calendar is hidden.
    • Select Show all to bring every calendar back into view at once.
  2. Look at the Home tab for a button reading Filter applied.
    • If it says Filter applied rather than Filter, a filter is active and is hiding events that do not match it. Select it and clear the filter.
πŸ’‘ Tip: Check the filter even if you do not remember setting one. It persists between sessions, so a filter set weeks ago is still hiding things today.

❌ Check Whether It Was Declined πŸ• ~2 minutes  |  Any browser
Declining a meeting removes it from your calendar rather than marking it. If you declined it β€” or something declined it for you β€” there will be nothing to find.
  1. Search your Deleted Items for the meeting title. The original invitation is usually still there.
  2. Open it and choose Accept to put the meeting back on your calendar.
  3. To keep declined meetings visible in future, go to Settings β†’ Calendar β†’ Events and invitations and tick Show declined events on your calendar.
The Invitations from other people section of Outlook calendar settings. Delete invitations that have been updated by the organizer is ticked; Delete notifications about forwarded events is unticked; Delete invitations from Inbox after responding is ticked; Automatically decline invitations that conflict with existing events is unticked. Below, under Save declined events, Show declined events on your calendar is unticked.
Settings β†’ Calendar β†’ Events and invitations. These defaults explain most vanished invitations.
⚠️ Note: In the same place, check whether Automatically decline invitations that conflict with existing events is ticked. If it is, an invitation that clashed with something already on your calendar was declined without you seeing it.

πŸ“… Check Which Calendar It Went To πŸ• ~1 minute  |  Any browser
If you created the event yourself and cannot find it, it may have been saved to a different calendar β€” a department calendar rather than your own, or the reverse.
  1. Make sure every calendar is showing, using Show all.
  2. Search for the event by title using the search box at the top of the window.
  3. Open it and look at the calendar name shown at the top of the event.
πŸ’‘ Tip: The dropdown at the top of the new-event form controls which calendar an event is saved to. If you manage more than one calendar, glance at it before saving.

πŸ’¬ If It Is Still Missing πŸ• ~1 minute  |  Ask the organizer
  1. Ask the organizer to confirm you are on the attendee list β€” not everyone who is told about a meeting is actually invited to it.
  2. Ask them to send you the invitation again.
  3. Search your mailbox for the title, including Junk Email.
⚠️ Note: Invitations disappear from your inbox once you respond, by design. An invitation that is not in your inbox is not evidence it never arrived β€” check your calendar first.
