📁 Organize Your Mail with Folders
Move mail out of the inbox so the inbox means something.

Written for Outlook on the web and New Outlook for Windows, which share the same layout. Classic Outlook for Windows is laid out differently — if your ribbon has a Send / Receive tab, you are using classic. See Classic Outlook vs. New Outlook.

📁 Create a Folder 🕐 ~2 minutes  |  Folder list
⚠️ Note: These steps come from Microsoft’s current published documentation rather than from a walkthrough on a NEO computer. The button names should match; if yours differ, tell the Help Desk so this article can be corrected.
  1. Right-click your account name, or the folder you want the new folder to sit inside, in the list on the left.
  2. Select Create new subfolder.
  3. Type a name and press Enter.
💡 Tip: Fewer folders work better than many. Most people are well served by a handful of broad ones — a committee, a project, a semester — plus search for everything else.

📤 Move Mail Into It 🕐 ~2 minutes  |  Home tab
  1. Select the message, or hold Ctrl and select several.
  2. Select Move to on the Home tab and choose the folder.
  3. You can also drag messages onto a folder in the list on the left.
💡 Tip: Moving a message does not change it or notify anyone. Replies still arrive in your inbox as normal.

📦 Archive and Sweep 🕐 ~3 minutes  |  Fast clearing
Two buttons on the Home tab clear an inbox far faster than filing by hand.
  1. Archive moves the selected message to the Archive folder.
    • Nothing is deleted. It stays searchable and you can move it back.
  2. Sweep deals with every message from one sender at once, and can keep doing it automatically.
    • Useful for newsletters and system notifications you want to keep receiving but never want in the inbox.
⚠️ Note: Archive keeps mail. Delete does not. Deleted items are recoverable for a limited period and then are gone.
🚨 Warning: Do not use Sweep to auto-delete mail from a person or a system you have any duty to keep records from. Once the retention window passes, those messages cannot be recovered.
