Which App Should I Use?

🧩 Which App Should I Use?
Email, Teams, OneDrive, or SharePoint β€” a plain answer.
βœ… Before You Begin
  • You need an active NEO A&M College account with SSO access
  • Nothing to install β€” this article only helps you choose
  • πŸ• Estimated time: 5 minutes

⚑ The Short Answer Reference  |  ~2 minutes
Four tools, four jobs. Most confusion comes from using one for another’s job.
  1. Email β€” reaching someone outside your team, anything that needs a record, anything formal.
  2. Teams chat β€” quick back-and-forth with people you work with daily.
  3. A Teams channel β€” work a group shares, that a new member should be able to read back through.
  4. OneDrive β€” your own files. Drafts, notes, anything not yet shared.
πŸ’‘ Tip: The test that settles most cases: would a colleague joining next month need to find this? If yes, it belongs in a team channel, not a chat and not your OneDrive.

πŸ“ Where Should This File Live? Reference  |  ~2 minutes
The file is… Put it in…
Only yours, for now OneDrive
Owned by a department or committee A Teams channel
Needed after you change role or leave A Teams channel β€” never OneDrive
Being sent outside NEO Share a link, do not attach a copy
🚨 Warning: A departmental file kept only in one person’s OneDrive goes with them. This is the single most common cause of work being lost when somebody changes role β€” not deletion, just ownership.

🚫 The Mistakes Worth Avoiding Reference  |  ~1 minute
  1. Emailing attachments back and forth. Everyone ends up with a different version. Share a link instead.
  2. Important decisions in a Teams chat. Nobody who joins later can find them. Post in a channel.
  3. Departmental files in personal OneDrive. They leave when you do.
  4. Chasing an urgent thing by email. If it needs answering in the next hour, use chat or the phone.
πŸ’‘ Tip: None of this is a rule you will be told off for breaking. It is just what makes work findable in six months.
