Reach a departmental or team mailbox you have been given access to.

  • Access to the shared mailbox, granted by the Help Desk
  • The shared mailbox’s email address

Written for Outlook on the web and New Outlook for Windows, which share the same layout. Classic Outlook for Windows is laid out differently — if your ribbon has a Send / Receive tab, you are using classic. See Classic Outlook vs. New Outlook.

📧 What a Shared Mailbox Is Read first  |  ~2 minutes
A shared mailbox is an address several people work from — a department, a committee, a service desk. It has no password of its own; you reach it with your own account.
  1. Everyone with access sees the same messages, read or unread.
  2. A reply you send from it comes from the shared address, not from you personally.
  3. Mail sent from it is normally kept in the shared Sent Items, so colleagues can see what was answered.
⚠️ Note: Because it is shared, treat everything in it as visible to the whole team. Anything genuinely personal belongs in your own mailbox.

⚠️ Note: These steps come from Microsoft’s current published documentation rather than from a walkthrough on a NEO computer. The button names should match; if yours differ, tell the Help Desk so this article can be corrected.
  1. Select the Settings gear, then Accounts, then Shared with me.
  2. Add the shared mailbox by its address.
  3. It appears as its own section in the folder list on the left.
    • You may need to close and reopen Outlook the first time.
💡 Tip: You can also open a shared mailbox in its own browser tab, which some people find clearer when working in it all day.
⚠️ Note: Access can take a little while to take effect after the Help Desk grants it. If it is not there after a few hours, tell us — do not keep re-adding it.

✉️ Send From the Shared Address 🕐 ~2 minutes  |  While composing
By default a new message comes from you. You have to choose the shared address deliberately.
  1. Start a New mail.
  2. Select the From button and choose the shared mailbox address.
  3. Write and send as normal.
🚨 Warning: If From still shows your own address, the reply goes out as you personally. On a service or committee mailbox that is usually not what you or the recipient want — check it before sending.
