Your first-week IT checklist — account, sign-in, email, phone, printing and where to get help.
✅ Before You Begin
  • Your NEO account details, provided as part of onboarding
  • A phone for multifactor sign-in approval
  • Your assigned NEO computer, if you have been issued one
  • 🕐 Estimated time: about an hour across your first day or two

📅 Day One — Get Signed In 🕐 ~20 minutes
  1. Activate your NEO account. Your GoldKey is the single login for email, your computer, and campus systems — see Activate Your New NEO Account. If activation does not recognise you, contact the Help Desk rather than retrying; new employee records are created centrally and can lag.
  2. Set up Duo multifactor on your phone — see Set Up Duo Multifactor Authentication (MFA). Add a second device while you are there.
  3. Sign in to your NEO computer. If you are on a shared or lab machine, see Signing In on a Shared or Personal Computer.
💡 Tip: Forgotten password later? neo.edu/password is worth memorising — it resets the one password that unlocks everything.

📧 Email, Calendar and Teams 🕐 ~20 minutes

NEO runs on Microsoft 365. The knowledge base has a full set of guides — these are the ones worth reading in your first week:

⚠️ Note: If your role needs access to a shared mailbox or a department calendar, that is requested through your supervisor — IT grants it, but the request has to come with authorisation.

📞 Your Desk Phone 🕐 ~15 minutes

NEO desk phones are Mitel 6915 handsets on the AT&T hosted phone system. If a phone has been assigned to you:

🖨️ Printing 🕐 ~10 minutes

Campus printers are added by name from your NEO computer — see Add a Campus Printer to Your NEO Computer. When a job does not come out, work through Printing Problems — When Your Job Does Not Come Out before calling; it resolves most cases in a couple of minutes.

🛡️ Security Expectations
  • Report suspicious email. See Report a Phishing or Suspicious Email. Reporting something harmless costs nothing; not reporting something real is expensive.
  • Never approve a Duo prompt you did not trigger. Deny it, change your password, and tell the Help Desk. An unexpected prompt usually means somebody already has your password.
  • Never share your password — not with colleagues, not with student workers, not with anyone claiming to be IT. NEO IT will never ask you for it.
  • Lock your screen when you step away — see How to Lock or Sign Out of Windows 11. Especially in any office where students or the public can walk past.
⚠️ Note: If your role involves student records, you are handling data covered by federal privacy rules. Your department will brief you on what that means for your job.
